Hassle-free Event Management? Is This Even Possible?
Each and every event organized in your company’s life puts a heavy burden of commitments on your shoulders. Imagine what happens if your managers expect to increase sales from a partner meeting that doesn’t go according to plan.
At a company party, your own colleagues are always the most critical of you if something doesn’t go their way. What’s more, they’ve waited a year for a really great party to finally relieve the stress they’ve built up over the year.
No invitations arrived on time and personalisation was not the printer’s best feature? There was hardly anyone who returned the invitation to participate? Did all subcontractors arrange for a drive-in permit for the restricted zone? Do they even arrive on time? Are they bringing exactly what and how much of everything I asked for? Will there be enough electricity at the venue, or would it have been safer to start with an aggregator? Is everything in the event planning process taken care of and nothing left out? And at last but not least, should I have browsed through the list of event management companies and asked for help?
What to expect once on the site? Will it be set up as I requested? Or will I be in a mad rush to get to the guest’s arrival? What if all the waiters and hostesses don’t show up because of the busy season? Will the on-site staff be in uniform, or will everyone show up in the guest lounge in scrappy clothes? I haven’t had enough time to organize the event, I’ve only been able to check food intolerances with the chef once, and that was quite a while ago; I wonder if he’s forgotten what we discussed earlier? What happens if a guest gets sick because the food cards don’t have the allergen labels on them or they mix them up? Will they all get full or will the buffet run out prematurely? What will my boss say if we don’t get as many guests as we expected? Am I to blame for this?
These are just a few of the many unsettling questions that can keep you tossing and turning the night before your event. But fortunately, you have a choice! Opt for an event management company to assist you!
You will receive a detailed timetable of what we have to do as early as the proposal stage. This will include the information and cooperation we need from you, as well as a weekly or even daily breakdown of the tasks we need to complete. This should make it easy for you to keep track of your event planning, and if you’re worried about something, we’ll be happy to hear from you. In addition, on the Friday of each week leading up to the event, we’ll report on the current situation and agree what needs to be done for the following week. That way you can carry out your business tasks with peace of mind, full focus and without stress involved.
If this was not enough, we can review the script in full detail the week before the event, either on site or at your office. We are confident that you won’t be left with unanswered questions and sleepless nights.
There are ongoing discussions between us and our subcontractors until the day of the event, the last one being the day before the event. All you have to do is keep in touch with us. No need to rush that day, just start it as usual. We will arrive first at the venue, where we inform you and even send you photos of how the preparations are progressing. And we know that in the event management business, the only thing more important than precise, accurate work is communication.
Let’s have a chat!
