An event management company or your own employee on an extra assignment? Do you want your event to be a passable one, or do you want more than that? Does it matter how much it will cost in the end?
Larger corporate events can put a strain on your business budget, and if you use a specialist company to organize them, you’ll also have to add the cost of an event management agency, which varies depending on the size and complexity of the event. It’s good to know this, but the truth is more nuanced than that, so don’t be fooled!
We have repeatedly encountered the practice of in-house marketers in recent years, HR and sometimes office managers managing events on their own, without professional support. Personal ambitions and the desire to prove themselves may play a role, but in most cases the aim is to save costs.
The idea is a good one, but at this point it is worth considering whether the intention is achieving its purpose. Will there be more money left in the company treasury if one of your employees does the corporate event planning?
Organizing an event is a complex and challenging task. It involves a lot of research, coordination, personal presence outside the office, not to mention visiting the venues. If your colleague is not well versed in the ever-changing subcontracting market, you may not be using the most suitable service providers, and you may even be paying a higher price than justified, as your company does not have the bargaining power of the best event management companies and agencies.
This is far from being irrelevant, although there are even more important considerations. Your employee who is in charge of organizing the event already has a job, you employ him or her because he or she is the most competent for the tasks in the company, being also the most effective.
Dealing with tasks he or she is neither an expert at nor experienced in will mean he or she will spend more time doing them, moreover, shall not have a sense of achievement. Efficiency will be reduced and from that point on he or she will start making you a loss.
The more serious, important, creative event tasks can take weeks or even months to complete, leaving him or her away from regular work and costing more to employ than if you had hired an outside professional.
So before you make a decision, keep in mind that your company, and the event management agency, is the best at what it was designed to do. Your business will be most effective if the people who work for it do the job you hired them to do, and what they are best at. Your event will also be professional if you trust the people who are experts at it.
Don’t burn your money, cheap tends to be more expensive!
